for Doctoral Fellows

:: Research fund guidelines (pdf)
Guidelines for Inequality Fellows seeking to draw from their individual research fund. Each expenditure requires pre-approval with a short research proposal and anticipated budget.

(Note!)
Harvard airfare policy: As of April 2006, the only air travel that may be covered with Inequality research funds is air travel booked through one of Harvard's preferred travel vendors. These vendors include Harvard Travel or Expedia Corporate (not individual Expedia accounts), which will require some special arrangements to set up. Thus Inequality Fellows should always consult first and obtain research funding approval before making any travel arrangements. This preferred vendor policy is in effect for all federally-sponsored programs at Harvard.

:: Harvard Universal Expense Form (HUEF) for reimbursement (pdf)
Fellows seeking reimbursement for pre-approved research expenditures should fill in the highlighted areas, print and sign the form, and submit with original receipts (no photocopies) to a program administrator for payment.

Forms must be submitted within 30 days of purchase, and all small receipts must be taped neatly to one or more sheets of paper.

(Note!) What consitutes a valid receipt: Supporting documentation for on-line purchases must be a receipt and NOT an order confirmation or reservation. Typically, an order confirmation email is generated at the time the order is placed, while the receipt is generated at the time the order ships. It is the latter email that will be required for reimbursement purposes. It should include the vendor name, the date of purchase, itemization, amount paid, and proof of purchase(e.g., last 4 digits of credit card charged). Often the packing slip serves as the official receipt in lieu of an email. If the receipt meeting these requirements is not available, a copy of the credit card statement showing the charge should be submitted along with the order confirmation page.

:: Prospectus documentation form for Inequality stipend (pdf)
Inequality Fellows must have an approved dissertation prospectus in order to collect the Inequality dissertation stipend, which is generally to be used in the G-4 year. Students who do not yet have an approved prospectus but expect to do so before the start of the fellowship period should use this form to document these plans.
